Exhibitor Requirements:
1. Exhibitors are asked
not to sell any product that may compete with Polk's Market’s inventory. We
will respect you as a vendor as well and not compete with your product line.
2. We want each exhibitor to participate in helping promote the Saturday Market
by providing us your customer base. A promotions plan will be given to each
vendor.
3. Each Vendor will be provided an exhibit space. Each exhibitor is responsible
for their exhibit space, including table, chairs and decor. Electricity can be
provided.
4 Booth space is $25.00 per Saturday.

Market Hours Of Operation: Every Saturday beginning January 23, 2010
9:15 am Exhibitor set up – We will provide
help for you with unloading, set up and take down and provide you with a booth
sitter if you need to leave your booth for any extended period of time. Please
unload on the Liberty Street side near the Garden. We will let you know where
you can park during the market hours.

as they wish while Polk’s is open. Polk’s
hours are 9 am till 5 pm.
Prior Vendor Approval
This event is a Juried Market and
each vendor must be pre-approved before being accepted as a vendor. We want to
be very careful that there is a good mix of vendors as well as quality of
product or services sold.
Promotion
of this event
We
would like to ask that you participate with us in promoting this event. We request
you include an email list of your
customers, clients and friends so that we may include them in our weekly professional
newsletter and internet social marketing of this event. We guarantee that these
emails will not become public and are only used to promote this event. Please
submit them along with this application. Preferably, we would like to get them in Microsoft
Excel 2007 listing with just the email address in one column. If not, you can you send them in a Microsoft
Word document.
Weather
Please understand that we are an
open air market and we are subject to Savannahs weather conditions. We will let
you know if we decide to cancel any of the Saturday Markets due to bad weather
no later than Friday night before each event. The primary reasons would be
extreme cold or high chances of rain.
Application Fee
Please remit $25.00 for an application fee. This fee will be
dedicated to our advertising budget for this event. We appreciate your
contribution to this expense.
Professional
Marketing & Promotion!
Trotter Promotions is handling all advertising and
promotions for this event and has planned a very aggressive promotional plan
for the Market. We plan at this time to spend an estimated $2,000 per month in
paid advertising. In addition, we are
sending out press releases and calendar of event sections to all Media
within a 150 mile radius of Savannah. Already
we are participating in posting a description of this event through social
media (Facebook and Twitter) to over 40,000.
These PR promotions are estimated to add another $5,000 + worth of advertising to the event. At the
Market we will give you a list of the paid advertising we are doing each week.
Of course, Polk’s Fresh Market itself is a Savannah institution and has
provided Savannah fresh local produce and unique gifts and food items for over
60 years. They also serve lunch in their very popular Café and already attract
a great Saturday customer base. At this time, three different Trolley Tour Companies
stop on Saturdays. We are working with these
companies to encourage they come by during our Saturday Market hours as well.
Professional, Experienced Management Services
Trotter promotions will also handle the management and
staffing for the Saturday Market. Dicky
Trotter has been in the Promotions and Event Management business for over 30
years and his claim to fame is creating and producing the Southeastern Wildlife
Exposition in 1983 in Charleston, SC. The
Expo is Charleston’s top tourist related event creating an annual 60 million
dollar impact, 40,000 attendees, 2 million in art sales, 100% hotel, motel occupancy
in February every year. It is now in its
28th year.
Pets
Even though Polk’s and Trotter Promotions are both huge pet
friendly people, we must ask you to not bring pets to the Market. This is because of insurance liability
issues. We will not allow the public to
bring them inside as well, SORRY.
Booth Space Fee
We will be holding this in our Outdoor Garden. Space is $25.00 per Saturday and must be paid
in advance one week prior to that Saturday’s event. Space includes just the space, which is
approximately 6 ft x 6 ft and gravel floor.
Half of our space is covered. We expect you to be responsible for
anything else you may need. Space is limited and once approved it is on a first
come (paid with application in) first served basis.
Insurance
Insurance, if desired by Exhibitor, must be obtained
by him or her at their own expense. Trotter
promotions, LLC, Polk’s Fresh Market, our clients and the cities and counties
where we produce the Market, assume no risk; and by the participation in the
event and by signing this application, the Exhibitor expressly releases Trotter
Promotion, LLC, Polk’s Fresh Market, our clients and the city and counties from
any and all liability for any damages, injury, theft, or loss to any person or
goods which may arise from the occupation of space by the Exhibitor. We strongly encourage all event participants to
carry insurance.
Licenses, Permits and Taxes
You are responsible and subject to all local city, county
and state taxes, licenses and permits that you may need. We will provide
kitchen facilities for food vendors if needed. In addition, Polk’s will provide
the ability for you to accept charge cards for your customer purchases if you
don’t have your own. This is a privilege that Polk’s has agreed to and they
will charge a small % fee yet to be determined.
Polk’s also accepts EBT cards for approved food items as well.
Exhibitor/Vendor display
You are
the most important person to us. You make the event a success or failure. We
encourage you to utilize your exhibitor space to its full potential, to have an
attractive, informative and fun display.
To encourage this we are offering a free space each week to the vendor
who has the best booth from the week before.
This will be to the vendor who has the most creative display, best
decorated space and is fun and shows enthusiasm. The winners will be determined by a
combination of votes from the public, vendors, Polk’s, Trotter Promotion staff
and by three guest mystery judges each week.
There will be three winners each week.
First place is free space for the next week’s Market, second place is a
free lunch that week at Polk’s and third place is a surprise gift!

event, create qualified customer purchasing traffic and provide all our
